What is SaaS?

Software as a Service (SaaS) is a method of providing and accessing software via an internet connection. The software is hosted, secured and maintained on the SaaS provider’s servers then accessed by the user through an internet browser or dedicated web portal.

With software hosted ‘in the cloud’, the SaaS provider is responsible for security, accessibility and performance, reducing infrastructure costs and responsibilities for businesses.

On-premises software is typically bought as a perpetual license: a customer pays an outright cost to license the software then install on their own infrastructure. This might seem the simplest option but hardware requirements, support fees and other hidden costs mean it can become incredibly expensive for some businesses.

Software as a Service models usually follow a subscription-based scheme allowing companies to pay a monthly or annual fee granting software licensing, along with the additional value of on-demand maintenance and support. The SaaS provider is then responsible for installing and upgrading the software on their own infrastructure. Users can access the latest features and improvements right away.

Businesses can also opt for a hybrid model, storing their data securely in the cloud while retaining their software locally or vice versa.

Many businesses exploring the possibilities of cloud hosting often face common questions and misconceptions surrounding online business software:

Who owns my data?
If you aren’t sure, ask SaaS providers about their policy regarding data management and retention.

Is my data secure?
Anyone confident doing their personal banking or shopping online should be confident hosting their business software in the cloud. Only those authorised by your business have access to your data.

When can I access my software and data?
Users can access their software and data any time they are connected to the internet - 24 hours a day, 7 days a week. SaaS providers should provide a minimum ‘uptime’ guarantee, taking into account any scheduled maintenance.
